Fire engine Hire Terms and Conditions

Bookings

Bookings are not confirmed until deposit is received. Your enquiry is tentative in our system until the deposit has been received and we will do our best to contact you to confirm your details if we have not heard from you. 


The deposit you have on your booking is to secure your date/time and confirm our team and trucks will attend your event. 


We can celebrate with you, rain, or shine, however if circumstances do arise that you need to cancel your party, please see our notes below:

  • Full refund of your deposit if cancellation is made prior to 4 weeks of your function. 
  • 50% refund of your deposit if cancellation is made prior to 2 weeks of your function.
  • 25% refund of your deposit if cancellation is made prior to 1 week of your function.
  • 0% refund of your deposit if cancellation occurs within 1 week of your function.

If the function date changes, your deposit will transfer to the new date & function.

Our trucks are approx. 7.5- 8m long, 3.5m wide and 3.5m high. Please consider the following when finalising your event location for the fire engine, as it can be challenging for the team:

  • Parking and travelling on and around really steep hills and inclines,
  • Small narrow streets where it is difficult to fit past parked cars,
  • Areas where the truck may not easily be able to turn around,
  • Reversing onto Main Roads and into heavy traffic,
  • Streets that have a sign indicating no trucks (a black truck with a red line through it).
  • Busy parks, sporting grounds and market locations which may have events on the weekend of your event.


We will do our best to accommodate requests for a specific truck however Fire Engine Hire will determine the best truck to bring to your event based on location, access and availability. 


Our packages are up to 60 minutes. When booking an event for more than 15 kids, we suggest that you book additional rides to ensure that no kids miss out. 

Any events over 30 kids may also require some additional time at your event to ensure we have enough time for all rides. 

Payments

Balance payment is on the day of your event or the day prior to your Fire Engine visit. 

The balance owing can be found in your final booking form. 


Please consider if siblings of the birthday child's guest's will be included in the ride allocations. When confirming your party/ event, please let the Fire Engine Hire team know if there is a potential for more rides on the day, and we will invoice post your event accordingly.  


All overdue payments will be granted 1 week grace period before late charges will be added to invoice at a rate of $10/day until the payment is received.

Arrival at your Venue/ Location

On the day of the event, we would ask that you reserve car spots at the park or on the street where you are celebrating. We can use traffic cones to reserve these spots once we arrive, so your own cars are effective, and letting any other party goers know the plan. 


If you have narrow streets, we ask that you reserve car spots on both sides of the road. Outside your house where the truck will park, and opposite the truck to enable cars travelling down your street ease of access. We can use traffic cones to reserve these spots once we arrive, so your own cars or bins are effective, and letting your neighbours know the plan also helps.


You may also want to let your neighbours know of our arrival and that we are there to celebrate with you, rather than an emergency they need to prepare for.


A contact person and phone number will be requested on booking, please ensure that contact person and number is suitable for the event should the team need to contact you on arrival.  You can update your booking to provide a secondary contact if required.


Our team uses Google Maps in order to locate your event. If you have any suggestions on how to locate your house or venue, let us know when booking and we will provide those details to our driver.


We will do our best to arrive on time for your event. There may be circumstances beyond our control on the day (e.g. traffic) that challenge us. We will contact you and provide you with our estimated arrival time as soon as we can identify we are going to be running behind.  


Please advise the team when confirming your booking if there are any sensitivities to loud noises (e.g. sirens and horns) and flashing lights for any of the attendees. It is good to prepare the parents of the kids invited that these may occur and advise the driver on arrival if there is a concern. 

Fire House Visitor Information & Conditions

The Fire House is the operational home of Fire Engine Hire, where our vehicles, activities and resources are stored and prepared between bookings. Experiences are available by prior arrangement as part of selected Fire Engine Hire services and activities. 

 

 Parking & Arrival 

  • Parking is available throughout the Business Park for visitors and guests.
  • Loading and unloading of personal items may be undertaken in front of the roller door at Unit 4.
  • Please only park in designated parking spaces and ensure accessways remain clear at all times.

 

Food & Refreshment 

  • Visitors are welcome to bring their own food, drinks and refreshments.
  • The organiser is responsible for managing the dietary requirements of all participants and guests.
  • If any guests have severe allergies or require special accommodation, please advise us prior to your visit so we can discuss suitable arrangements.

 

Kitchen & Guest Amenities 

The Fire House includes access to:

  • Refrigerator
  • Microwave
  • Air fryer
  • Pie warmer
  • Toaster
  • Kettle
  • Complimentary tea and coffee making facilities


Basic kitchen items are available, including:

  • Serving plates
  • Serving bowls
  • Mugs
  • Basic cutting utensils


We recommend organisers bring any specialty serving items they may require, including serving platters, cake stands, candles, matches/lighters and containers for leftover food.


 Kitchen Pack Add-On

A Kitchen Pack containing disposable compostable plates, bowls, cups and sporks is available for an additional per-person charge. Please contact our team for pricing and details.


 Safety & Supervision

  • Parents and guardians remain responsible for supervising children at all times.
  • Visitors must follow all instructions provided by Fire Engine Hire team members during activities, demonstrations and fire engine rides.
  • Organisers are responsible for ensuring guests are aware of all safety requirements and restricted areas.
  • Running near vehicles, entering restricted areas, or accessing operational areas of the warehouse is not permitted.


Before You Leave

We ask that visitors:

  • Remove all personal belongings and leftover food.
  • Return kitchen items and facilities to a clean and tidy condition.
  • Dispose of rubbish in the bins provided.
  • Report any damage, breakages or missing items to a Fire Engine Hire team member as soon as possible.


 Access Times

  • Access is available 15 minutes prior to the scheduled start time.
  • Visitors may remain for up to 15 minutes after the scheduled finish time to collect belongings and complete pack-up.

Our Team

We will happily provide our Public Liability Certificate upon request. These are typically requested when booking with venues and parks. 


All members of the Fire Engine Hire team have WWCC and can be provided on request. 


Fire Engine Hire are committed to employing the best people to do the best job possible. We recognise the importance of reflecting the diversity of the world we live in today. Therefore, your Driver and Entertainer may be female. We will do our best to accommodate a request for “Fireman Sam”, please advise at time of booking if the request is for a male to attend your event.  

Fire Engine Hire Event Cancellation Policy.

We understand that sometimes plans change and the Melbourne weather is unpredictable. Our team works hard to prepare for your event and reserves your chosen time exclusively for you. The following policy helps us ensure fairness for both clients and our team.


1. Cancellations

7-14 days of the event:

Cancellations made between 7 and 14 days prior to your booked event date may result in your deposit being retained to cover administration and scheduling costs.


48 hours- 7 days of the event:

Cancellations made between 48 hours and 7 days prior to your booked event date may incur a cancellation fee equal to 50% of the quoted event fee, to compensate for staff scheduling, preparation, and the loss of other booking opportunities.


24- 48 hours of the event:

Cancellations made within 48 hours of the event will incur a cancellation fee of 75% of the quoted event fee as our team and resources will have already been allocated to your booking.


Within 24 hours of the event:

If our team arrives and the event cannot proceed due to cancellation or client unavailability, the full event fee (100%) will be charged.


2. Rescheduling

We are happy to help you find another available date if your event needs to be moved. 

25% of the quoted event fee may apply to cover administration, staffing, and transport costs already allocated.


The new event date must be within 3 months of the original booking date or otherwise discussed directly with Fire Engine Hire.


The original booking may be rescheduled up to two times. If the rescheduled date is later cancelled, a cancellation fee equal to 50% of the quoted event fee will apply to cover time and resources allocated to your booking.


3. If Fire Engine Hire Team are unable to attend your Event

If any unforeseen circumstances (e.g. mechanical issues) prevent our attendance to your event, we will:

  • Offer to reschedule to another suitable date at no charge, or
  • Waive any cancellation fees if rescheduling is not possible.


4. Payment Terms

  • Payment is due after the event unless otherwise arranged.
  • Any applicable cancellation or rescheduling fees will be invoiced and are payable within 14 days.


5. Fairness Promise

We value our community and understand that emergencies and unexpected circumstances can happen. If you experience extenuating circumstances, please reach out, we will always do our best to find a fair solution.
